Accessing Email Templates

To manage and customise your email templates, follow these steps:

  1. Click your avatar in the top navigation panel.
  2. Select Control Panel from the dropdown menu.
  3. Click Email Templates.

Here, you can view the available templates and customise them by adding a Subject and Content. Both the subject and content can be personalised with placeholder text, and you can preview the email before saving it.

Placeholders

You can use the following placeholders to dynamically insert content into your email templates. Placeholders are categorised into Simple Variables and Rich Text options.

Simple Variables:

These are basic placeholders that you can use to dynamically insert information such as usernames, discussion titles, and more. Some placeholders can be used in the subject.

[COMMENT_CONTENT] The content of the comment/answer/discussion/question, capped at 160 characters. No

Rich Text Variables:

These placeholders allow you to format text with buttons, links, and other rich content.

[COMMENT_AUTHOR_LINK] Link to the comment author's profile as text.
[COMMENT_BUTTON] Link to the comment as a button.
[COMMENT_LINK] Link to the comment as text.
[DISCUSSION_AUTHOR_BUTTON] Link to the discussion author's profile as a button.
[DISCUSSION_AUTHOR_LINK] Link to the discussion author's profile as text.
[DISCUSSION_BUTTON] Link to the discussion as a button.
[DISCUSSION_LINK] Link to the discussion as text.
[EXPLORE_BUTTON] Link to the platform’s Explore page as a button.
[EXPLORE_LINK] Link to the platform’s Explore page as text.
[FOOTER] Footer block with a special footer style.
[GROUP_BUTTON] Link to the group as a button.
[GROUP_LINK] Link to the group as text.
[PROFILE_BUTTON] Link to receiver's profile page as a button.
[PROFILE_LINK] Link to receiver's profile page as text.
[QUOTE] Quoted text, such as the contents of a comment.
[SIGN_IN_BUTTON] Link to the platform's Sign-In page as a button.
[SIGN_IN_LINK] Link to the platform's Sign-In page as text.
[STAFF_BUTTON] Link to the profile of the user who changed the role as a button.
[STAFF_LINK] Link to the profile of the user who changed the role as text.
[STRONG] Bold text.
[UNSUBSCRIBE] Unsubscribe link that will remove the receiver from this type of email notifications.
[UNSUBSCRIBE_ALL] Unsubscribe link that will remove the receiver from all email notifications.

Email Templates

There are two main categories of email templates: System Emails and Notification Emails.

System Emails:

These emails are automatically sent for system-related actions, such as account management and password resets.

Template Name Description
Access Request Sent to a user after they request access to the platform.
Account Deleted Sent to a user after their account is deleted.
Account Deletion Request Sent when a user requests to delete their account. Contains a link to confirm the deletion.
Platform Invitation Sent to an unregistered person when they are invited to the platform. Contains a link to activate the account.
Question Answered Sent to a Guest when their question is answered. Contains a link to close the question.
Question Asked Sent to an unregistered person after they ask a question. Contains a link to a Guest sign-up page.
Reported Content Sent to a Moderator when content is reported.
Reset Password Request Sent to a user when they request a password reset. Contains a link to reset the password.
User Banned Sent to a user when they are banned.
User Restored Sent to a user when they are unbanned.

Notification Emails:

These emails are sent for various user actions and notifications within the platform, such as when users are added or removed from groups or roles, or when content is updated.

Added to PGR Advocates Sent when a Member is added to a PGR group as an Advocate.
Added to Private Group Sent when a Member is added to a private group.
Admin Added Sent to Administrators when a Member is granted the Administrator role.
Admin Removed Sent to Administrators when a Member has the Administrator role revoked.
Comment Reply Sent to a Member when their comment receives a direct reply.
Content Hidden Sent to Administrators when content is hidden by a Moderator or another Administrator.
Content Reported Sent to Administrators when content is reported.
Followed Discussion Reply Sent when a discussion the user commented on receives a new comment.
Followed Question Answer Sent when another Advocate comments on a question the user is involved in.
Moderator Added Sent to Administrators when a Member is granted the Moderator role.
Moderator Removed Sent to Administrators when a Member has the Moderator role revoked.
My Discussion Reply Sent to a Member when their created discussion receives a new comment.
My Question Answer Sent to a Guest when their question is answered.
New Discussion Sent when a new discussion is created in a group the Member is following.
New Group Created Sent to all Members when a new group is created.
New Question Sent to an Advocate when a new question is asked in a group they are following.
Removed From PGR Advocates Sent when a Member is removed from a PGR group as an Advocate.
Removed From Private Group Sent when a Member is removed from a private group.
Thread Closed Sent to Administrators when a thread is closed by a Moderator.
Thread Pinned Sent to Administrators when a thread is pinned by a Moderator.
Thread Reopened Sent to Administrators when a thread is reopened by a Moderator.
Thread Unpinned Sent to Administrators when a thread is unpinned by a Moderator.

Customising and Previewing Templates

When you select a template, you can customise the subject and content by adding placeholders. You can preview the email before saving your changes. This ensures the email content is correct and dynamic, based on the placeholder values.
